What is personal data?

Personal data is any information about you that identifies you directly or indirectly. Processing includes, among other things, collecting, recording, storing, using, forwarding and deleting that data.

Contact form

When you use the contact form, I process your name (if you fill it in), your email address or phone number, the topic and your message. The form forwards your message to me by email; the website itself does not store it in a database.

I only use this data to answer your question and, if you want, to prepare a quote or agreement. The legal basis is your own request for contact and my legitimate interest in responding to it.

WhatsApp, email and phone

If you contact me through WhatsApp, email or phone, I process the data you share yourself, such as your name, number, email address and the content of your message. WhatsApp is a service of Meta; WhatsApp’s own privacy terms also apply to its use.

When we work together

For quotes, agreements, invoices and to meet legal obligations, an assignment involves processing:

• First and last name
• Job title
• Address
• Email address
• Phone number
• Bank account number

Website statistics

To see how the website is used, I use Umami. Umami runs on my own server (stats.vto-software.nl), sets no cookies and does not store IP addresses. It records anonymous data such as which pages are viewed, which website referred you, the type of browser and device, the country, and clicks on contact buttons. This data cannot be traced back to you as a person. The legal basis is my legitimate interest in improving the website.

Server logs

The server that delivers this website keeps technical logs, such as your IP address, the time and the page requested. These logs are needed for security and troubleshooting, and are kept for a short time.

Cookies

This website sets no cookies and uses no third-party trackers. That is why there is no cookie banner.

Sharing with others

I never sell your data to third parties. To run this website and receive email I use a hosting provider (Railway) and an email provider. When a company processes data on my behalf, I enter into a data processing agreement where required. If data is processed outside the European Economic Area, this only happens with appropriate safeguards, such as the European Commission’s standard contractual clauses.

Retention

I keep personal data no longer than needed for the purpose it was collected for. If a message does not lead to an assignment, I delete it once it is no longer needed. Administrative records such as invoices are kept as long as the law requires; for Dutch tax purposes that is seven years.

Your rights

You have the right to access your data, to have it corrected or deleted, and to object to its processing. You can also ask to restrict processing, withdraw consent you gave, or have your data transferred. Send your request to software@vantoever.nl. You will receive a response within four weeks.

If you disagree with how I handle your data, you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

Security

Personal data should stay personal. I take technical and organisational measures to protect it, such as restricted access, a secure connection (HTTPS), encryption and passwords for electronic systems.
